Operational systems that grow with your business.
Your business has outgrown the way it runs.
The spreadsheets keep multiplying. The exports don't match. Your team rekeys the same data into three places. You know there's a better way to run this. You just need a partner who'll figure out what it actually looks like before we start building.
Our AI guide replies in real time. When you book a call or send an enquiry, the conversation is emailed to the ICOSE team and a person follows up. Until then, it stays on your device. Or email contact@icose.ai.
Start with a prototype, not a presentation.
Most agencies sell discovery as workshops and slides. We don't. Every ICOSE engagement starts with a discovery sprint that takes two to four weeks and ends with a working prototype: a small web app, mobile app, or integration that shows what the full system would do. Sometimes the prototype confirms what you came in asking for. Sometimes it points in a different direction. Either way, the build that follows is the right one, not the obvious one.
That's why our clients stay. You won't get a deck. You'll get a partner who tells you what you actually need, and hands you something real to start with.
Built and running.
At IYC
IYC (International Yacht Company) is a global luxury yachting business. Over four years, our team has helped design and build the operating systems used across the business.
6,000+
enquiries distributed automatically each year
< 30 min
time to first response on a new enquiry (down from hours)
2,500+
proposals processed every year
The team has built tools across the customer-facing and operational sides of the business: a personalised website for each salesperson capturing enquiries from web and phone, automated enquiry distribution that puts the right lead in front of the right broker, and a broker scoring system measuring response speed, client interaction and conversion. A contracts module shows contracts and payments in and out in a single view. There's a software system for IYC's Yacht Management vertical, and mobile and desktop apps used by teams across the business.
For crew, there's a portal to search and apply for jobs and an onboarding system from application through to placement. Behind it all, external data providers feed the operational systems, a Power BI database drives real-time dashboards, and AI is built into specific workflows for automation and exception checks.
Selected client work
Piraeus Bank
A case management system for non-performing loans (NPLs). The platform handles thousands of cases across multiple departments, tracking the state of legal activity on each one.

Venizeleio Hospital Heraklion
Updated and extended a set of FileMaker systems used in the hospital's Gastroenterology and Oncology departments to manage patients and their exams.

Municipality of Spata-Artemis
A custom workflow system for the Municipal Police covering traffic tickets, restaurant and bar inspections, and the everyday paperwork of municipal enforcement.

Athenian Yachts
Replaced the legacy back office with a booking and contract management system shared across the marina bases around the country. The platform handles hundreds of client bookings and contracts a year.
OpenSea
A new booking management system, paired with an online booking and payments site we built alongside it. Customers reserve and pay on the web; the OpenSea team works the same bookings through their operations console.

Diaplous Maritime
An HR, crew and operations management system for global maritime operations. The platform manages 700+ guards across tens of concurrent operations at sea, and the thousands of certificates and documents the business needs to stay compliant.

Athens Home Services
A worker-placement system for a household services agency: profiles and skills for thousands of workers, matched into households.

SafetyPass
A full back-office management system and paired mobile app. Workers complete required safety training through a connected online platform, then carry their certifications on their phone to present on site. Used across thousands of workers.
Worked with

What we do, end to end.
Every engagement starts with Discovery. What we recommend next depends on the use case. It might be a custom build, the right SaaS chosen for you, an automation layer on top of what you already have, or some mix of the three.
- 01.
Discovery
The craft of figuring out what's really going on. Stakeholder interviews, process walk-throughs, a hard look at the data and the systems you already have. The work that turns “something isn't working” into a clear brief.
- 02.
Architecture
The design layer between discovery and build: which processes get digitised, which get re-engineered, how the data flows, where each piece lives. Get this right and the build follows naturally. Get it wrong and the build fights you for years.
- 03.
The right system
Built from scratch where no existing product fits. The right SaaS, configured properly, where one does. Or an existing system tuned to finally do what it should. The answer that suits the problem, not the one that bills the most.
- 04.
Integrations
Most operations break in the gaps between systems. We close those gaps (APIs, SaaS connectors, ERP integrations, external data feeds) so the right information reaches the right place automatically.
- 05.
Automation
The manual work eating your team's time: approvals, hand-offs, data entry, exception handling. We wrap automation around it, so the system handles the routine and your team focuses on the judgement calls.
- 06.
Long-term support
We stay after the build. Monitoring, fixes, feature improvements, training. The systems we build keep getting better the longer you have them.
The real AI work happens before the AI.
Most AI projects fail, not because the AI doesn't work, but because the data feeding it is messy, the processes around it are unclear, and the people on your team who'd use it don't know how. We build the foundations. Your AI sits on top.
Surface signals
Anomalies, leading indicators, things buried in the noise of your day-to-day operations. The foundations make them findable. The models surface them.
Pattern-recognition automation
Classification, scoring, exception checks, document understanding: the kinds of automation that need pattern recognition, not just rules. Built into the specific workflows where they earn their keep.
Real-time understanding
Operational dashboards built from clean, connected data, so your next decision is informed, not a guess.
The shape of an engagement.
Your engagement unfolds across four phases. Here's what happens at each one, and how the work shifts as we move from first conversation to long-term partnership.
- 01
Discovery
Two to four weeks. We sit with your team, walk the floor, look at the data and the systems you already have. The phase ends with a working prototype and a brief sharp enough to build from.
- 02
Architecture & design
We translate the brief into a solution: which processes to digitise, which to re-engineer, how data flows between them, where each piece lives. By the end of this phase, the build can start without architectural surprises.
- 03
Iterative build
Working software ships early. We refine it as your team uses it, layer in integrations and automation as the system grows, and train your team on the parts that are live. By launch, most of your team has already been using the system for weeks.
- 04
Support & grow
Post-launch isn't the end. We stay alongside, monitoring, fixing, improving, training new starters, expanding capability as your business asks for more. The systems we build keep getting better the longer you have them.
We understand your business first. Then we build.
ICOSE is an international modernization partner. Available globally, with offices in Manchester, Athens, Tirana, Buenos Aires and Torino, and teams delivering across the UK, Europe, South America and Africa. Since 2009 we've worked across maritime, logistics, manufacturing, health & safety, insurance, oil & gas, energy and construction.
Our role is the full arc: design the system, automate the work, train your team, take the feedback that comes back from the floor, and stay alongside your business as it grows. We understand technology. But we earn our place by understanding what it has to do for your business.
Whatever the technology (automation, AI, integrations), it only works on solid foundations. Clean data. Clear processes. Interfaces your team can actually use. We get the foundations right first, then layer in the rest.

Why we built ICOSE.
ICOSE was founded in 2009 around one belief: that the same engineering depth you'd find inside the largest corporate technology programmes could land far more directly inside a smaller, owner-led business that's outgrown its tools. So that's what we built ICOSE to do.
Inside a growing business like yours, one well-built system can change the trajectory of the whole company. Your team feels the difference within weeks. We're here for that. The work where craft and impact line up cleanly, where the next decision you make can run on the system you've just put in place.
Today ICOSE is a team across five cities, working with clients who already know something needs to change. We help you figure out what (before anyone writes a line of code), and we stay alongside as the system you end up with grows with your business.
